Effective September 7, 2026, the Expatriate Services Division (ESD) requires all companies to ensure that the details of their listed authorised personnel (i.e., Directors & Company Secretary) are complete and up to date in ESD Online. Placeholders such as “Not Applicable” or “Not Available” are not permitted.

For background, keeping authorised personnel’s details helps ensure accurate data integration and a smoother process when applying for the Jabatan Tenaga Kerja Semenanjung Malaysia (JTKSM) Approval Letter at Xpats Gateway. Failure to complete the required information may affect data integration and delay the processing of future JTKSM Approval Letter applications.

If any listed authorised personnel’s information is missing or incomplete, an automatic pop-up notification will appear on the ESD Online homepage upon login. This notification will continue to appear upon each login until all required details has been completed.

If you see a pop-up when you log in, we advise providing the missing information as soon as possible to avoid delays to JTKSM applications and any subsequent Employment Pass (EP) and/or Professional Visit Pass (PVP) applications. If no pop-up notification appears, no further action is required, as all required information is already complete.
